    Hi Everyone
    Our helpdesk has a queue where all the client emails appear. A consultant will read an incoming email, set the Regarding field and assign it to themselves with the Work On button. After working on what the email required they will
    then reply to the client with the From field changed to the Queue email address.
    If the client responds back again, that email will come back into the queue.
    What I am trying to do is set the Worked By field automatically for this incoming email that is regarding a previous email.

    I thought of two solutions:
    1. Run a workflow on all newly created Queue Items. If the related email has the Regarding field set, search in the queue for any other email with the same object in the Regarding field and use that Queue Item's Worked By field. (I can't
    figure out how to search for records in a workflow)
    2. Create a new field on the Email Entity called WorkedBy. When the Worked By field is set on the queue item, set this field as well with workflow. Now, when Reply is used, set the new Draft email's WorkedBy
    field to the parent email's WorkedBy field. (Here I create workflow that runs when a new email is created. How do you know if this email is a reply email? And how do you access the parent email to which this is the reply to in
    workflow?)
    We are using CRM2011 but will be upgrading in the next few months if that helps.

    Does anybody know if it is possible to find out when a new queue item is created, whether it has already got a related queue item in the queue? For example, if Bob sent an email that entered the queue and you replied to Bob and then Bob replied again.
    Now there are two emails in the queue from Bob about the same issue.

    Hi All,
    Good day to you all.
    I am stuck at this urgent issue which i am racking my brains at.
    We have multiple exchange connectors 3.0 RTM ( about 4) configured for our SCSM 2012 SP1 environment. These exchange connectors have all different email addresses they listen to on them. We also have the send mail solution in place with the Request
    user for more info template in place.
    We have configured our Administration-Notification-Channels- with the workflow account email address. All is working fine as it should.
    The issue is when an incident is opened and send email is used to request more info from the user, the email is sent via the E-mail notification channel which has the workflow account email address in it. So if the user hits reply it will goto
    the Workflow email address by default unless the user manually changes the email address to the specific email address the exchange connector is listening on.

    How can we automate this such that any 'more info' requests send Via Send Mail from the incident A has the exchange connector A ( Site.A@contoso.com) email address in its From field so that when the user hits reply to it; it populates the
    Reply to Email address as Site.A@contoso.com instead of workflow@contoso.com.
    Changing the email address under E-mail notification channel would not fix it as incidents are being generated by multiple exchange connectors on different email adddreses.
    Any ideas or help would be greatly appreciated. :)

    From field? Or, is my only alternative to create a User account for the alias address (which would mean adding it to AD as well, and causing other complications).

    I misunderstood - when you said to setup a queue with an email address and set the sender of the emails to the queue not the user I thought you were talking about the properties of the queue not the case owner alert. When an email is sent to one of our support
    queues and the support tech replies to that email, the email 'From' field has his/her email address in that field and we want the queue email address in that field. At the moment we do not use cases.

    I would like to know if it would be possible to set up a sharepoint workflow with the following conditions:
    The user could subscribe to a discussion board and set up an alert for a designated discussion thread. The user could receive the alerts on their desktop or Blackberry device via Outlook when any changes are made to the discussion thread.The user could open the alert in their inbox (not the SharePoint lists folder) and click the reply button to send the contents in the reply directly to the designated discussion thread.
    IMPORTANT: The important thing to note here is that everything must happen from the Inbox using only the reply button to respond to the alert. I have set up a functional alert using the SharePoint lists folder but I need to set up one using only the inbox.
    The problem I am having is that the SharePoint outgoing email address is preconfigured, so when I click on reply, the To address references the SharePoint outgoing address and installs it in the field automatically where it cannot be changed. Is there a way of coding theworkflow to replace the SP outgoing emailaddress with the discussion board's incoming email address?

    I am afraid its not possible that each list have one outgoing emailaddress.
    The scope of outgoing emailaddress is the web application.

    When using the project management tool Basecamp I get notifications from notifications@basecamp but the reply-to field contains the url for the relevant message or list in basecamp so in theory hitting reply in Outlook 2011 for Mac should open a reply email
    that inserts the address from the 'Reply-to' field into the 'To' field. However, it doesn't, it just reverts to the From field. Is there a setting (maybe server side?) where you can tell Outlook to respect and use the 'Reply-to' field if it exists?

    I added the hyperlink info in the email that the SPD sent out that had it fill in the recipient that I want it to go to with a mailto: and selected a field from the form for the subject and some more fields for the body of the email - all coming

    Has anyone used the From or Reply To fields in an email notification? I'm using Calgary (cca6-05-23-2013) and I was trying to test the From and Reply To fields. Currently, I have an email notification that will run when an event is fired. If both of the fields are blank, the email will generate and send. If either field contains data (even if it's a valid email address), my instance will not create an email to send. I can see in the event log that the event fired, but no email is being generated.

    Yes i want to create a workflow on the email entity but unfortunately the workflow does not know how topopulate the 'regarding contact' field and as a result the contact field is not found. Do you know how i can get around this? The Email entity only

    The SharePoint alert email is using alerttemplates.xml as email template, it will by default show modifications of the list item, however send an
    email activity in SharePoint Designer workflow will doesnt display email message like alert, it needs us to fill in the email body.

    If you want to use email notifications like alert message, why not using alert settings to receive notifications, you can create alert for specific

    That is what it does out of the box.
     
    I don't know of any way to get the full name without coding.  You can do this via a custom action in the workflow itself or you can do it before you invoke the workflow via an event receiver that populates the name in another column in the list.

    Hello,I have a workflow set up that adds the body and reply fields to another list on my SharePoint site and works fine when I start in manually.  The problem is I need it to be triggered when a user replies to a current thread in a discussion board and sets field to a specific value.This field is a yes/no dropdown that is defaulted to no and the workflow is set to trigger when the field is set to yes.  When you reply to a thread, select yes, and click ok, the workflow is never triggered.  When I go back into the reply I just posted, the values I set for the yes/no field and the other custom columns all still have the default values in them like I never set them.Does anyone know why the columns are not holding the values that were set on the reply?  I think everything would work fine as long as the values are being submitted.Any help would be greatly appreciated.Thanks

    Thanks for your response,The user gets logged in automatically when they open the page from the active directory from their PC.I think the workflow isn't starting simply because the value from the dropdown is not being submitted when a user replies to a thread.  Is there anyway to request information from a user when they reply to a discussion board that could be used to start the workflow?

    I am a bit of a newbie at On Demand workflow and am currently working on a workflow email that will pull the Description field from the notes, which are related to the opportunity, whenever the sales stage field is changed from stage 6 to stage 5.

    I think that I need to use the JoinFieldValue function in the message body of the email to pull the information from the note, but I am unsure as to how to construct it.

    A contact completes our webform on our website. The comments box text on the webform goes into a hidden comments box on the contact form which in turn triggers a workflow to create an email message and queue item which adds the email message to a queue for

    The workflow can be:

    2. Add 0 months, 0 days, 0 hours, 0 minutes to Today (Output to Variable: date1 )
    3. Set time as 0 : 0 for Variable: date (Output to Variable: date2 )(get the Variable: date Date only )

    we have setup queue to recieve support emails from our clients and also workflow was setup to send notify email to our support team when the new email is received
    our problem is when support users need to reply to the support email they have to reply from crm window instead of using outlook because the mail is sent to the queue not the users

    and as a result the email signature is not there and no spell checker
    is there any way that make the user able to reply to the email from outlook?

    If your users have the CRM Client for Outlook installed, they can send e-mails using Outlook and use theTrack in CRM button and set the Regarding to the case. This will ensure that the e-mail is tracked in CRM against the case.
    This isn't actually replying to the client's e-mail but instead composing a new e-mail.

    I don't think there is a simple way to be able to reply to an e-mail in Outlook that was not sent to a user's mailbox.

    I've noticed that my blackberry replys to the FROM and ignores the REPLY TO field. Do you know anything about that?When I reply to this specific email on my outlook, it responds to the REPLY TO address. If i do the same on my Blackberry, it reply to the FROM address.

    Hi again!

    Sorry for the pause in communications -- but, during that period, there were some attempts at testing going on in other quarters. And, with what those testers had available, they were not able to reproduce the problem. At the moment, the theory is that it has something to do with the original sending host system. If, for instance, the Reply-To is slightly malformed in some way, BIS may not be able to properly interpret it while other systems have enough variance in their code to handle the variation. Now, that's just a guess mind you...not having your email system in hand makes it pretty much impossible to know for sure. Is there a way that you can configure a different email system and set the same fields on that system and see if the results are the same? You should be able to make the attempt with any free email system out there, using Outlook as your client to generate the initial email (it can set "Reply-To" as different from "From"). That could rule in or out BIS itself in favor of the sending email system.

    I want to use two fields on a table for the From and Reply to fields on a Client Template.

    One field is called u_recipient (string) and contains the email address I want to use as the Reply to address. The other field is assignment_group (which is a reference field). I don't know how to call these fields from within the Client Template. I've already enabled the From and Reply to fields so they're now viewable.

    You need to use designer workflow to get value from that additional column. I believe right now you are using windows workflow which will not have a choice to select that field.

    Are youi talking about Designer Workfows or Visual Studio ones? In the case of Designer, the out of the box activity for sending an e-mail doesn't allow yo to do that...in the case of a Visual Studio workflow, you could create a custom for with this functionality.

    Open the message, then File, Properties button - the header is in a small box. I usually select all (CtrlA) then copy and paste into Notepad or a new Outlook message so i can read it.

    I did all this and I am able to send mail to outlook. But when mail contains work item, the attachment is bieng quanrantied at symatec security for outlook.

    Any suggestion to allow work item probably R3F extension file through symantec will be greatly appreciated.

    You cannot - you are using only your GW account through this system.

    The area you are looking at in the WebPim is really only used if you click

    on compose in the WebPim itself (not even from the device). And a

    reply-to field is not your sender address. It\'s just an alternate

    address to send to divert a reply back to another user. Doesn\'t seem to

    work in the WebPim anyway.

    You will find that the WebPim is mostly useful for testing (i.e., messages

    aren\'t going to the device, look to see if they made it to the WebPIM etc.).

    Since most GW sites probably have WebAccess, you won\'t have much use for

    reading/sending mail through the WebPIM itself.

    I would like to know if it would be possible to set up a sharepoint workflow with the following conditions:
    The user could subscribe to a discussion board and set up an alert for a designated discussion thread. The user could receive the alerts on their desktop or Blackberry device via Outlook when any changes are made to the
    discussion thread.The user could open the alert in their inbox (not the SharePoint lists folder) and click the reply button to send
    the contents in the reply directly to the designated discussion thread.
    IMPORTANT: The important thing to note here is that everything must happen from the Inbox using only the reply
    button to respond to the alert. I have set up a functional alert using the SharePoint lists folder but I need to set
    up one using only the inbox.
    The problem I am having is that the SharePoint outgoing email address is preconfigured, so when I click on reply,
    the To address references the SharePoint outgoing address and installs it in the field automatically where it
    cannot be changed. Is there a way of coding the workflow to replace the SP outgoing email address with the
    discussion board's incoming email address?

    If you can configure the sharepoint server to accept the reply and drop itin a list you could configure a workflow to process the reply and place it in the appropriate discussion thread...I'mperforming a similar process with requests for quotations...the in-bound e-mails are placed on an on-going quotation thread, then deleted from the in-bound mail list on the sharepoint server.

    I am having a problem with a sharepoint designer workflow email. I am using the OOB workflow for the absence and vacation management site. I have customized the email to be sent once a absence request is made. In the email body I have

    You could try an e-mail sent checkbox. Make the workflow check that box after sending the initial e-mail, then add it to your conditions associated with the send e-mail action: if e-mail sent is empty, send. So, if it has been checked, the conditions won't be met and it won't send the e-mail anymore.

    Hi. I am having a problem, too. All the servers are on. I went to "Options-Mail-Accounts-Servers, etc" in the iPad, and follwed the instructions to make sure I can send e-mails. However, I cannot send e-mail from my Yahoo account. Furthermore, I cannot find the "switch to classic view" option, as has been suggested earlier. I looked all over for it.
    Also, in my Hotmail account, when I reply to mail, I cannot see the original e-mail, which makes it very difficult to respond to a long e-mail when you cannot re-read it. I am used to modifying the sender's e-mail, sometimes, too, but this is , obviously, also not possible. Why can't I see the sender's e-mail? My 3rd and final account, AOL works properly.

    I am trying to access our server name from my workflow so that I can branch appropriately. I see that within the adminui email setup I have access to the field @@notification-host@@ which provides me with the server name. The problem is that I need access to this info from within the workflow, either from the Scrip QPAC or the SetValue QPAC.

    Does anyone know how I might be able to access this information from my workflow?

    I have a single line text field column in my custom list called Email Address. The submitter manually keys in the email address where a final email once the workflow has completed should be sent.
    I have a Send Email action. In the TO section of the email, I clicked on the Address Book, added the Workflow Lookup for User and then choose the Current Item and Email Address as the Field Data to retrieve.
    When the email is generated, the correct text is showing up in the TO field of the email, however, it is not sending the email to the address. I have a hardcoded email in the CC and that address receives the email. I also hardcoded the email
    address I'm testing with and it also receives the email in that instance, but does not receive it when it is entered in as the text for the Email Address field in the item in the custom list.
    Is there something additional that needs to be done with the field for the system to recognize the text as an email address. The 3rd field where the field type is selected is set the String and is greyed out so i cannot select that it is type Email
    Address.

I would like to supply each of these workflows with different reply-to addresses.Can I do that? After a lot of searching it appears that the only way is to create separate Web Applications, since the reply-to address is set on Web Application level.     I have a workflow that sends an email to a user based on the value that is looked up from a list. The user field in the list is a People-Only Person or Group field. The email is correctly sent. I use the same lookup value for the Collect
    Data from User action, but the generated task is not assigned to anyone and as a result no email gets sent. Any thoughts on why the task isn't assigned to anyone? The workflow does not generate any visible errors.

    I have a field in my library called 'Urgency' - - it has 2 items:
    Planned
    Emergency
    I want to send an email whenever a new item is entered or updated (all via an InfoPath form)and 'Emergency' is chosen, however it's sending an email on every single submission.
    when I look at the workflow - it says :
    If Current List:Urgency equal Emergency
    (send Email)
    the 'Define Workflow Lookup' dialog confuses me, though.
    For the datasource, I choose: Current List
    Field From source: Urgency
    Then, there is a second section below - - (Choose a field from the selected list and a matching value that identifies the specific item you want from the datasource)
    So, I choose the Urgency field (AGAIN - subquestion: why a second time? I already chose it above)
    and Value: Emergency
    any ideas?

    After looking at the default WP email notification that is sent by dm_wp_sender.ebs I can gather the message field in the WebPublisher workflow email notification is populated with text that has been entered in the Definition Tab from a workflow activity in Workflow Manager. Is there anyway to change this a bit, so perhaps the email message field can be populated with text from the Message field from the Start Workflow page in webpublisher? This would make a lot more sense for the task recipient. The text coming from Workflow manager is not real dynamic message for the user receiving the WP task.     I have a SharePoint Worklow that sends a email to users. I have a custom list which has a textbox field(Enhanced Rich Textbox). A Workflow is attached to that list and sends out an email for each new item. Included in the body of the workflow email is the

    When I create a new Item, fill out the textbox field(include hyperlink to a document in sam site) and run workflow i get the following result:
    In the email(in outlook) that i recieve, In the body of the email the URL to hyperlinks to sharepoint documents or sitesare cut and start at /sites/.. or /pages/.. as oppose to https://... which does not work. If you copy the Full URL
    into the browser it works. Also if you add hyperlink to external sites link
    www.cnn.com, or ww.google.com et.c to the textbox field it works fine in the email.

    Have you tried with add-ons disabled?

    Restart Thunderbird with add-ons disabled (Thunderbird Safe Mode). On the Help menu (Alt+H), click on "Restart with Add-ons Disabled". If Thunderbird works like normal, there is an Add-on or Theme interfering with normal operations. You will need to re-enable add-ons one at a time until you locate the offender.

    I am trying to setup an automatic email response to client when an Incident is raised via email and have successfully setup a workflow rule to send an email template to the client's email address. However, recipients that were included in the cc list from the client's original email did not receive the automatic email response.

    Our business will need to send an automatic email response to client as well as email recipients included in the cc list from the original email.

    I have attempted to capture the cc field in the Remedyforce Administration -- Incident Email Settings, however it seems to be assigned as text field rather then email field which makes it impossible to include this cc field in the email alert workflow rule.

    Does anyone has a workaround solution that will assist me in this request?

    Thank you for the suggestion. However adding 5 cc email fields will not be sufficient in our business scenario whereby it is norm for cc list to be greater than 10.

    It would appears that the only option will be to use the trigger rule.

    In my workflow built using SPD I have say a simple step that sends email. The email subject and body text comes from a specific list on SharePoint (EmailTemplate).
    The question is how do I get SPD workflow email activity to recognize dynamic field content?
    For example I need to show a value of workflow variable test in the subject of email. So on the subject field of EmailTemplate SPList I have The subject is [%Variable: test%]. I extract that string from EmailTemplate and use it in Define
    Email Message popup in Subject field (Send Email action definition).
    The problem is the Send Email action in SPD workflow is unable to parse the string and substitute dynamic values, whether from current item or from workflow variables.

    I have built a new table (which is attached to the task table) and have configured a graphical workflow for the new table. the workflow I have configured works right up to the email notification to the approver, however when I receive the approval request email and "accept or reject" the approval the workflow is not completing the approval process. As I am testing this in UAT I am getting the emails sent to myself and responding to them but the Table is not flagging the approval. When a case gets emailed to a user or group, the case details are in the body of the message with a link to the case in CRM via a workflow rule when the email gets sent.     Hi,
    If you have used your own email, the you said you did not receive any emails. Is this your Hotmail/yahoo/Gmail email?
    If yes, is you CRM able to send email outside. I mean is exchange server configured to send and receive emails.
    If the workflow is success, then you should be atleast see an email activity already created in CRM.
    Also I did not find a way to use custom field for To. So you can create a custom relationship between order entity and contact and use that contact to send email (using contact's email).

    After applying the Microsoft SharePoint Cumulative Patch October 2010 on SharePoint Server Enterprise 2007, workflow generated emails have a new lookup field
    in the from: field of the SMTP header. Is there a way of deleting this field so that the email from field does not match the site where the workflow is associated, but JUST has the email address that I've specified?
    The items between the quotes picks up the site name where the workflow is associated. It's happening to all of my workflows now. Not limited to just one.
    Here's a sample of my findings

    Before the update, there is not an from field in the SMTP header. There's jus t a Return-Path: field.

    When we subscribe to a SharePoint alert for a list, Discussion Board, Document library etc., SharePoint would append the Title of the site
    as the Display name of the sender. It depends upon how mail is sent to exchange server and itsconfiguration.

    field is grey out, disabled. It doesn't allow the option to return as an email. I suspect it's because the 3 properties were promoted as concatenated string?

    Now when my workflow is run, the workflow is immediately canceled. I suspect it's the problem with the email field. How can I promote a Person Picker
    field so it will return a email address when I use it in the email to user function in workflow?

    The control I use is a Person/Group Picker. I tried in Property Promotion selecting either DisplayName, AccountID or even the PCPerson but none of them would give me the Return Field As field enabled to select to return as email. It stays
    as grey out, disabled, and return as string.
    I suspect this is also why I'm not getting the email when workflow starts. Where can I check if an email is sent? I have it sent to myself, by selecting myself in the Person/Group picker but I haven't received any emails.

    Out of the box - via Marketing List Send Email/template It will only send to the Contact/Lead/Account email address and not the record owner.

    Instead of using the regular send email - you can use workflow (250 at a time), within the workflow email setup so that the Email to is set to the Record Owner instead of the Contact.

    Or look into 3rd Party Email solutions.

    One of our departments wants to use a SharePoint discussion board as a forum for student questions.
    Instead of having the students set an Alert on the topic, they would like a workflow that automatically fires off that will email the creator of the question informing them that an answer has been posted.
    The sequence of events would be:
    1.        Student creates a discussion post asking a question
    2.       A workflow sends them an email acknowledging the post and explaining they will receive another email when the question has been answered. This is fired off automatically based on the fact that the Current Item's Is Root Post field value is 1.
    3.       A faculty member posts a reply to the question.
    4.       A workflow sends the student an email notice that their question has been answered, possibly with a copy of the answer using the current item Full Body field. This workflow will start on item creation based on the Current Item's Is Root Post field value of 0.
    I can use the value of the “Is Root Post” field to determine if the item is the original question or a reply.  Is there some way that I can determine the value of the “Creator” field of the reply’s root so that the email in step 4 will be sent to the originating student?
    I am using SharePoint Designer to make the workflow.

    Is there an option to provide a "Reply-To" field on the iPhone and iPod Touch versions of the email app? When i use mail on my iMac, the field is there when I create a new email message.

    I am currently in my free-trial for MobleMe and for now, if I send an email from the iPhone. I'd like the reply-to to be set to my other email account (not the .me account).

    I have a workflow that sends an email (from a template) to a customer when a new case is created against their account and then another email when the case is resolved.
     
    In CRM3 the email would automatically have the regarding field set to the case, but in CRM4 the regarding field is blank.
     
    Does anybody know how to get it to set the regarding field?

    Hi Sermoc,
    Incident entity is not emailable. You can see this if you navigate to the customization area and see the definition of the incident(Case) entity. The Sending email... check box is unchecked. You can only use the dynamic fields assistant to point to emailable
    entities.
    However you should be able to send the email to either the contact or account values in the Customer Field of the Incident.

    We have a custom entity that has a need for two email addresses. When the main email address is changed, the requirement is to store the previous email in the 2ndary email field and the updated email address is in the primary email field. Okay - no probelm.
    Where we are having an issue is with the need to send two different emails (from a workflow) to those two different emailaddresses. Has anyone been able to send an email to the 2nd email address through a workflow?

    When I "reply all" on a message that contains a list of mail recipients separated by semicolons, mac mail treats the entire list of email recipients as one single email address for the email address that are put into the cc field. The result is that the generated reply all message can't be sent because the cc email address is invalid. For example, an email from bob@xyx.com and sent to fred@abc.com and joe@yqy.com produces the following reply all email addresses:
    to: bob@xyx.com
    cc: fred@abc.com;joe@yqy.com

    The message in question was sent to an outlook in box on the old computer and then imported to the mac via outlook2mac (where the reply all was then attempted). Outlook2Mac must have converted the recipients from comma separated to semi-colon separated (as the original message on the windows machine has the recipient list comma separated).

    When I receive an email to my @me address (which is an alias), then hit reply to respond, my iphone automatically places my @mac address in the From field. Why won't it automatically reply from the same email that the message was received in?Just to clarify:I received an email to my email@me.com address. When I reply to the message, my phone automically places differentemail@mac.com into the From field. So I have to tap the From field to switch it back to the email@me.com.     I have my user mailbox account in Outlook, then I added a shared mailbox as second mailbox in Outlook.
    However when I read the emails in shared mailbox click on Reply, the FROM field shows the shared mailbox email address, which I don't want.
    I want when I reply emails from Shared Mailbox, the FROM field shows my user email address so that user can reply to my user mailbox, not shared mailbox email address. How to achieve that?

    I notice this issue only happened to Outlook, it is alright in OWA. In OWA, the FROM field is showing my user email address when I reply email from Shared Mailbox.

    Our form contains a field where the users submitted their email address. But I am not able to mouse over this data in the "View Responses" tab, and copy the email address by selecting the email address and Ctrl C, and neither can I right-click this data field and copy it.

    Our organization just switched to Microsoft Office 365, and "mailto" links on web pages can no longer be clicked to launch a native desktop email client program. So the users tasked with responding to forms submitted via Formscentral now have a much harder workflow. They are compelled to download the data as a spreadsheet, just to be able to cut and paste an email address into their reply email.

    I suggest and request that the Flash-based "View Responses" tab be modified to allow email addresses to be selectable and able to be copied to the "clip board". This would allow users who can't execute a clickable mailto link to copy and paste the email address from Formscentral into a new email. Many organizations like mine are moving away from native client-based email programs like Outlook to save money, in favor of cloud based SAS web-based email like Office 365.

    Is there some other way to enable mailto links where no client email program is installed on the users PC?

    While I am still looking for a better answer, I've discovered a way to cut and paste email addresses from the FormsCentral "View Responses" dashboard. I wrote up the instructions to help our users and thought I'd share them in this forum as well.

    But it would be nice if there was a simpler solution... Can anyone offer a better way?

    When using an Email Template in a Workflow to send a New Case Acknoweldgement, there is no value in the Regarding field.  Therefore when a reply is sent, it is not automatically added to the case. 
     
    If I create an e-mail from scratch, then I can set the Case in the Regarding field, and all is well. But then I can't seem to use variables in the text of the e-mail.
     
    Can anybody help me please?
